Who We Are & What This Means

Look, we get it - privacy policies can be a real snooze-fest. But here's the deal: we actually care about your data and want you to understand what happens with it when you reach out to us or browse our site.

We're Cyrendal Venquinth Architecture, based right here in Toronto, and we've been designing sustainable spaces for folks who care about both aesthetics and the planet. When you share info with us - whether that's through a contact form, email, or even just visiting our website - we want to be totally upfront about what we do (and don't do) with it.

This policy covers our website and any communications you have with our studio. It's governed by Canadian privacy laws, specifically PIPEDA, which honestly sets a pretty high bar for how businesses should handle personal information.

What Information We Actually Collect

Stuff You Give Us Directly

When you fill out our contact form or shoot us an email, you're usually giving us things like your name, email address, phone number, and whatever details you share about your project. Sometimes clients tell us about their property location, budget ranges, timeline preferences - basically whatever helps us understand if we're a good fit for each other.

We don't ask for anything weird or unnecessary. Just the basics that let us actually respond to your inquiry and start a conversation about your architectural needs.

Technical Stuff That Gets Collected Automatically

Like pretty much every website out there, ours collects some technical data when you visit. We're talking about things like your IP address, browser type, what pages you looked at, how long you stuck around, and where you came from before landing on our site.

This isn't about being nosy - it helps us figure out if the site's working properly, which projects get the most interest, and whether our content is actually useful to people. Sometimes it also helps us spot technical issues before they become real problems.

How We Use Your Information

We're not in the business of selling data or sending you a million marketing emails. Here's what we actually do with your info:

  • Responding to your inquiries - This is the main one. You reach out, we need your contact info to get back to you.
  • Project discussions - If we start working together, we'll use the details you've shared to develop proposals and understand your vision.
  • Improving our services - Looking at how people use our site helps us make it better and showcase projects that actually interest folks.
  • Occasional updates - If you've worked with us before, we might send the odd email about our studio news or relevant sustainability insights. But you can opt out anytime - no hard feelings.
  • Legal stuff - Sometimes we're required to keep records for regulatory or legal reasons, especially for completed projects.

Who We Share Data With (Spoiler: Not Many People)

We're pretty protective of client information. That said, there are a few scenarios where we might need to share your data:

Service Providers

We use a few trusted third-party services - like email hosting, cloud storage for project files, and website analytics. These companies only get access to the data they need to do their job, and they're contractually required to keep it secure.

Project Collaborators

If your project involves other professionals - structural engineers, contractors, consultants - we'll share relevant info with them. But only what's necessary for the project, and with your knowledge.

Legal Requirements

If we're legally required to disclose information - like in response to a court order or regulatory request - we'll do so. But we'll always notify you first unless we're prohibited from doing so.

We will never sell your personal information to third parties. That's just not how we operate.

Cookies & Tracking Technologies

Yeah, we use cookies - not the chocolate chip kind, unfortunately. These are small text files that help our website function properly and remember your preferences.

Essential Cookies

These keep the site running smoothly - things like maintaining your session, remembering your language preference, that sort of thing. Can't really turn these off without breaking the website.

Analytics Cookies

We use these to understand how people interact with our site. It's all anonymous data that helps us figure out what's working and what isn't. You can disable these through your browser settings if you want.

Most browsers let you control cookies through their settings. Just be aware that blocking certain cookies might affect how the site works for you.

Your Privacy Rights

Under Canadian law, you've got some solid rights when it comes to your personal information. Here's what you can do:

Access Your Data

You can ask us what personal information we have about you. We'll give you a copy, usually within 30 days.

Correct Your Info

If something's wrong or outdated, just let us know and we'll fix it. We want to keep things accurate.

Delete Your Data

You can request deletion of your personal information, though we might need to keep some records for legal reasons.

Withdraw Consent

If you've agreed to something (like receiving emails), you can change your mind anytime. No questions asked.

To exercise any of these rights, just shoot us an email at info@cyrendalvenquinth.info or give us a call at (416) 555-0147. We'll get back to you promptly.

How We Keep Your Data Secure

We take security seriously, even though no system is 100% foolproof. Here's what we do to protect your information:

  • Our website uses SSL encryption (that's the little padlock you see in your browser)
  • We store client data on secure, encrypted servers with limited access
  • Only team members who actually need access to your information get it
  • We regularly update our security practices and software
  • Physical documents are kept in locked cabinets in our office

That said, if you're emailing us sensitive information, be aware that regular email isn't super secure. For really sensitive stuff, we can set up more secure file-sharing methods.

If there's ever a data breach that affects your information, we'll let you know ASAP and tell you what steps we're taking.

How Long We Keep Your Info

We don't hang onto your data forever. Here's generally how long we keep different types of information:

Inquiry data: If you reach out but we don't end up working together, we'll keep your info for about a year in case you circle back.

Project files: For completed projects, we keep records for 7-10 years. This is partly for legal requirements and partly in case you need reference info down the road.

Financial records: Tax and accounting stuff gets kept for 7 years, as required by Canadian law.

Website analytics: This is typically stored for 14-26 months and then gets automatically purged.

After these periods, we securely delete or anonymize the data so it can't be traced back to you.

Children's Privacy

Our services aren't directed at anyone under 18, and we don't knowingly collect information from kids. If you're a parent and think your child has shared information with us, please reach out and we'll delete it immediately.

Changes to This Policy

We might update this privacy policy from time to time - usually when we add new services or if privacy laws change. When we make significant changes, we'll post a notice on our website and update the "Last updated" date at the top of this page.

If you're an active client, we'll also send you an email letting you know about major changes. For everyone else, it's worth checking back here occasionally if you're curious.

Questions? Concerns? Just Want to Chat?

If you've got questions about this privacy policy or how we handle your data, we're here to help. Seriously - don't hesitate to reach out. We'd rather you ask than worry about it.

If you're not satisfied with our response to a privacy concern, you also have the right to file a complaint with the Office of the Privacy Commissioner of Canada. But hopefully it won't come to that - we're pretty good at working things out.

Bottom line: We respect your privacy and will always be transparent about what we do with your information. If something in this policy doesn't make sense or you want more details about anything, just ask. We're architects, not lawyers, so we promise to give you straight answers in plain language.
